Time management is planning work so that deadlines are met without last minute rushes. Listen for how the candidate estimates effort, protects time for important tasks and responds when a plan slips. Strong candidates describe a repeatable routine and give an example of telling someone early that a date will move.

What is time management?

Time management is the practice of planning, scheduling and controlling how working hours are spent. The behaviours that show it are breaking work into steps, estimating how long each will take, blocking time for focused work, handling interruptions and flagging risks to a deadline early. It is related to prioritization, but it concerns how the time is used once the choice of work has been made.

Time Management interview questions

  1. Describe how you plan your working week. What did last week look like? Listen for: a routine with real detail, not a general statement of being organised.
  2. Tell me about a deadline you were close to missing. What did you do? Listen for: early detection, a recovery plan and communication with the affected people.
  3. Describe how you estimate how long a piece of work will take. Listen for: breaking down the task, using past experience and allowing a buffer.
  4. Tell me about a time your estimate was far off. What did you learn? Listen for: an honest review and a changed way of estimating.
  5. How do you protect time for focused work when you receive many requests? Listen for: specific methods, such as set hours, a shared calendar or agreed response times.
  6. You are asked to take on a task that would put an existing deadline at risk. What do you say? Listen for: showing the effect on the current work and offering options.
  7. You find yourself repeatedly putting off one task. What do you do? Listen for: self awareness and a practical fix, such as splitting the task or asking for help.
  8. Tell me about a time you managed several deadlines in the same week. Listen for: a written order, checkpoints and updates to the people waiting.

How do you score time management fairly?

Score time management on the habits and the early warnings described, not on the claim to be busy. A candidate who always met deadlines with no stress is probably leaving out how they did it, so ask for the method.

  • Ask every candidate for a typical week and one missed or close deadline, so answers can be compared.
  • Write down in advance what good planning, estimating and early warning sound like.
  • Score against those notes before comparing candidates.
  • Record the routine or the moment of early warning that supports the score.
