Next round interview invitation template.
Updated 5 October 2026
Send this message when a candidate has passed an earlier stage and you want to invite them to the next one. Say that they are moving forward, name the next round and its format, give the time options, say who they will meet or what they will do, and ask for a reply by a set date.
What should this message include?
The candidate should feel that the earlier round counted, and know what the next one involves before they accept.
- A clear statement that the candidate is moving to the next round.
- The format of the next round, such as a panel, a task or a conversation with the hiring manager.
- Dates and times with the time zone, or a link to choose a slot.
- What to prepare, if anything, and how long it will take.
- A reply-by date and a contact for adjustments.

What should you change before sending?
- The format: describe the actual next stage, whether it is a panel, a task or a hiring manager conversation.
- Whether to name interviewers: only include names you have permission to share.
- The deadline: allow time for candidates to arrange leave from their current job.
- Accessibility: invite adjustments to the format, especially for a task or a panel.
Mistakes to avoid
- Suggesting that this round is a formality or that an offer is likely.
- Leaving out the format, so candidates cannot prepare.
- Asking the candidate to repeat the same questions they answered earlier.
