Use WhatsApp to invite a candidate when you already have their number from the application and they are likely to see a message there before they see an email. Keep it short and include the role, the time, the link and a way to reply.
What should this message include?
A WhatsApp message is read on a small screen, often between other tasks. Everything the candidate needs should fit without scrolling.
- Who you are and which company you represent, in the first line.
- The role the candidate applied for.
- The date, time and time zone, or the link to choose a slot.
- The interview link, placed on its own line so it is easy to tap.
- A clear way to reply, such as sending a different time.

Use the first message for the invitation. Send the second only if the candidate has not replied after a day or two.
Hello [Candidate name], this is [Recruiter name] from [Company]. Thank you for applying for the [Role] position. We would like to invite you to an interview. Date: [Date] Time: [Time and time zone] Link: [Interview link] Please reply by [Reply-by date] to confirm, or send a time that suits you better.

What should you change before sending?
- Language: write in the language the candidate used in their application, if your team can continue the conversation in it.
- Sending hours: send during normal daytime hours in the candidate's time zone.
- The reply path: say who will read the reply, and keep that person available.
- Reschedule option: keep the line inviting another time so candidates are not forced to ignore the message.

Mistakes to avoid
- Pasting a long email into WhatsApp. Cut it down to the details above.
