Ask for feedback soon after the candidate finishes the process, while it is fresh, and tell them clearly what you will do with it. Keep the request short, make answering optional, and say how long it takes. Ask about the process, not about the hiring decision.
What should this message include?
Candidate feedback shows where your process is unclear or slow. It works best when the candidate trusts that it is optional and read.
- A thank you for taking part in the process.
- The reason for asking and what you will do with the answers.
- A link to a short form, with the time it takes written as [Duration].
- A line that says answering is optional and will not affect any decision.
- A contact for anyone who would rather talk.

What should you change before sending?
- The timing: send after the outcome, not before, so the answer is not shaped by hope or worry.
- The questions: keep them to the process, and avoid asking candidates to rate people.
- The anonymity: say whether answers are anonymous, and be accurate.
- Accessibility: offer a call or another format for candidates who prefer it.
Mistakes to avoid
- Asking before you have told the candidate the outcome.
- Collecting feedback and never acting on it.
- Making the form long. Short forms get more honest answers.
